Automating Tenant Onboarding and Lease Renewals for Real Estate Agencies in Accra

Chasing signatures and re-typing lease terms into three different spreadsheets isn't a real estate problem — it's a plumbing problem, and it's fixable.

A mid-size agency managing sixty or seventy units in Accra usually runs on a mix of WhatsApp, Excel, and whoever remembers when a lease is up for renewal. It's not that agents are disorganized — it's that lease lifecycle management was never built as a proper system, just a series of manual reminders.

A custom tenant onboarding flow starts before move-in: prospective tenants submit ID, references, and deposit proof through a form that validates the basics automatically, instead of an agent manually checking a folder of WhatsApp images. Once approved, the lease terms — rent, escalation date, renewal window — live in one record, not three.

The renewal side is where automation earns its keep. Instead of an agent manually tracking sixty lease-end dates in a notebook, the system flags renewals sixty, thirty, and seven days out, drafts the renewal notice with the updated terms already filled in, and only needs a human to review and send.

The realistic scope for most agencies: this isn't a full property-management platform with tenant portals and online rent payment on day one. It's the onboarding and renewal pipeline first, because that's where the manual hours actually go — the rest can be added once that foundation exists.
